Terms of service for hirers and vehicle owners.

These terms set out the principal commercial conditions that apply to productions, agencies, planners, and other clients hiring vehicles through ReelRides, and to owners making vehicles available for professional bookings. They are intended to give both sides a clear framework on confirmation, payment, insurance responsibility, permitted use, and late-return consequences.

This page is a practical summary of the standard commercial position used across bookings. Additional written terms may apply to a specific vehicle, production, event, or insurance arrangement where the nature of the booking requires more detailed handling.

Deposit

A 20% deposit is required to confirm a rental.

Payment

The full balance must be paid before the vehicle is delivered or released.

Late fees

Late returns are charged at the daily rate plus 25% per additional day.

For Hirers

Production company and renter terms.

These terms apply to production companies, agencies, event planners, photographers, creative teams, and any other party hiring a vehicle through ReelRides for professional use.

Booking confirmation and deposit

To confirm a booking, the production company, agency, planner, or other hirer must pay a deposit equal to 20% of the agreed rental total, unless ReelRides expressly confirms different terms in writing. A booking is not treated as fully confirmed until that deposit has been received and the commercial scope of the booking, including dates, intended use, and logistics, has been accepted by the relevant parties.

Balance before delivery

The remaining balance must be paid in full before the vehicle is delivered, collected, transported, or otherwise released for use. ReelRides and the owner are under no obligation to hand over the vehicle, reserve transport capacity, or permit operational use until cleared payment has been received in full.

Late return fees

If a vehicle is returned late, retained beyond the agreed rental period, or kept off-hire for longer than originally authorised, late fees will apply at the agreed daily rate plus 25% for each additional day, or part day, during which the vehicle remains unavailable to the owner or unavailable for other confirmed use.

Use of the vehicle

The vehicle may only be used for the purpose, dates, locations, personnel, handling arrangements, and drivers approved in advance. Any proposed change to filming activity, event activity, route, driver allocation, transport plan, schedule, or type of use must be disclosed and approved before that change takes effect. Unapproved changes may result in suspension or cancellation of the booking.

Commercial position

ReelRides operates on the basis that each booking affects both logistics and asset availability. Dates should not be treated as guaranteed, and delivery should not be expected, until the required deposit has been paid, the remaining balance has been scheduled for clearance before release, and the intended usage profile has been accurately disclosed.

For Owners

Terms for individuals and vehicle owners listing assets.

These terms apply to private owners and other suppliers making cars or other vehicles available for bookings arranged through ReelRides for productions, campaigns, weddings, and events.

Insurance support

ReelRides may offer insurance for eligible bookings where appropriate cover can be arranged for the intended professional use. Where insurance is provided through ReelRides, the relevant policy details, conditions, limitations, and any excess payable will be confirmed as part of the booking process.

If ReelRides insurance is not taken

If insurance offered through ReelRides is not taken, the owner remains fully responsible for ensuring that the vehicle’s own policy expressly permits the intended professional use. This includes, without limitation, film, television, editorial, promotional, wedding, and event-related work, together with any agreed transport, handling, or supervised driving activity.

Owner responsibility for policy suitability

Owners should confirm directly with their insurer that the vehicle is covered for the agreed booking type, approved drivers, transport method, location profile, and any on-set or event-related commercial activity. ReelRides does not accept responsibility for exclusions, refusals, voided cover, or any other gaps in an owner’s personal or pre-existing insurance policy.

Availability and approval

Listing a vehicle with ReelRides does not oblige the owner to accept every enquiry, hold every date, or proceed with every proposed use. A booking is only treated as confirmed once availability, commercial terms, intended use, payment position, and the applicable insurance arrangement have all been agreed.

Owner protection

ReelRides does not assume that a standard private motor policy is suitable for commercial filming or event work. Where a booking falls outside the scope of an owner's existing cover, the insurance position should be resolved before the booking is allowed to proceed. That point is fundamental to protecting both the owner and the vehicle.

ReelRides can offer insurance for eligible bookings. If that insurance is not taken, the owner must make sure their own policy covers professional use, including film and event work. Bookings should not proceed on assumptions about standard private-use cover.
